Sections marked [FROM PLATFORM LAUNCH] describe how we will handle data once the full MyMaintenance platform (customer accounts, trade partner matching, and in-app payments) goes live in Autumn 2026. Until then, only the website and waitlist data flows described elsewhere in this policy apply. We will update and reissue this policy ahead of launch.
1. Who we are
MyMaintenance is a home maintenance marketplace connecting homeowners in the Wrexham and Chester area with vetted local tradespeople. The service is operated by MM & HP Ltd (company number 17196980), registered at Romney, Marford Hill, Marford, Wrexham, LL12 8TA, United Kingdom.
For the purposes of UK data protection law, MM & HP Ltd is the data controller for the personal data described in this policy.

2. The data protection law we follow
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This policy explains what data we collect, why we collect it, how long we keep it, and what rights you have over it.
3. Information we collect today (pre-launch)
At this stage, MyMaintenance is in pre-launch. The platform itself is not yet publicly available, so the personal data we currently collect is limited to the following:
3.1 Website visitors
Technical data such as IP address, browser type, device type, and pages visited, collected automatically when you visit our website.
Cookie and similar tracking data, where you have consented to non-essential cookies (see Section 9).
3.2 Enquiries, waitlist sign-ups, and marketing
Your name and email address, and any other details you choose to provide, if you join our waitlist, register interest, or contact us via a form on our website.
Your name, email, and postcode, if you indicate interest as a prospective customer or as a tradesperson wanting to become a founding member trade partner.
Records of any correspondence between you and us, including emails sent to hello@mymaintenance.co.uk, partners@mymaintenance.co.uk, or admin@mymaintenance.co.uk.
3.3 Local advertising (Meta/Facebook)
We run a geographically targeted advertising campaign on Facebook and Instagram (Meta platforms), limited to the LL and CH postcode areas. If you interact with our adverts, Meta may share limited engagement data with us (such as click-throughs and conversions), as governed by Meta's own data practices and our use of Meta's advertising tools. We do not receive your Meta account details. See Section 8 for more on third parties.
4. Information we will collect at platform launch
From Autumn 2026, when the full MyMaintenance platform launches, we will collect additional personal data in order to operate the marketplace. This section describes that data. [FROM PLATFORM LAUNCH]
4.1 Customer accounts
Name, email address, phone number, and property address.
Account login credentials (passwords are stored encrypted; we never store them in plain text).
Home Passport data — a digital record of your property that may include details of appliances, fixtures, warranties, insurance policies, and maintenance history that you choose to store.
Job requests, messages with trade partners, photos or descriptions of maintenance issues, and any reviews or ratings you leave.•Subscription tier (standard or Home Passport Plus) and billing preferences.
Interactions with Ask Jack, our AI advisor, including questions asked and any property context you share with it, in order to provide relevant responses.
4.2 Trade partner data
Name, business name, contact details, and trading address.
Vetting and verification information, which may include identity checks, insurance documentation, trade qualifications, and references.
Bank or payment details necessary to receive payouts via our payment processor.
Job history, customer feedback, ratings, and platform performance metrics.
4.3 Payment data
Payments on the platform are processed securely via Stripe, using an escrow model where customer payment is held until a job is confirmed complete. We do not store full card or bank account numbers ourselves — these are handled directly by Stripe in accordance with its own privacy policy and PCI-DSS compliance obligations. We retain records of transaction amounts, dates, platform fees (15% standard, or 12.5% for Home Passport Plus members), and the 0.5% Community Fund contribution applied to each completed job.
5. How we use your information
We use personal data for the following purposes:
To operate the website, respond to enquiries, and manage our waitlist.
To provide and improve the MyMaintenance platform, including matching customers with suitable trade partners.
To process payments and platform fees, and to facilitate payouts to trade partners.
To vet and verify trade partners before they are permitted to join the platform.
To send service updates, including essential communications about your account, bookings, or jobs.
To send marketing communications where you have consented, which you may withdraw at any time.
To maintain the security of our systems and to prevent fraud or misuse.
To comply with our legal and regulatory obligations.
6. Our legal basis for processing
Under UK GDPR, we rely on the following legal bases depending on the purpose of processing:

7. Who we share your information with
We do not sell personal data. We share information only where necessary, with the following categories of recipient:
Trade partners and customers — to facilitate a job, we share the minimum information needed (e.g. a customer's job request and property address are shared with the trade partner matched to that job).
Stripe — to process payments, escrow, and payouts.
Cornerstone, our technology development partner, who may process data on our behalf while building and maintaining the platform, under contractual data processing terms.
Identity and background check providers — used to vet trade partners before onboarding.
Meta (Facebook/Instagram) — for the purposes of running and measuring our targeted advertising campaigns.
Professional advisers and regulators — where required for legal, accounting, or compliance purposes.
We require any third party processing personal data on our behalf to do so under a written data processing agreement consistent with UK GDPR.
8. International data transfers
Some of the third parties we use, including Stripe and Meta, may process or store data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as the UK's International Data Transfer Addendum, an adequacy decision, or equivalent contractual protections recognised under UK GDPR.
9. Cookies
Our website uses cookies and similar technologies. Essential cookies are necessary for the site to function and do not require consent. Non-essential cookies, such as those used for analytics or advertising measurement (including Meta Pixel), are only set with your consent, which you can manage via our cookie banner or your browser settings.
10. How long we keep your data
We keep personal data only for as long as necessary for the purposes set out in this policy:
Waitlist and enquiry data is kept until launch plus a reasonable period afterwards, or until you ask us to delete it.
Customer and trade partner account data is retained for the duration of your account and for a period afterwards as required for legal, accounting, or dispute-resolution purposes. [FROM PLATFORM LAUNCH]

Marketing data is kept until you withdraw consent or unsubscribe.
11. Your rights
Under UK GDPR, you have the right to:
Access the personal data we hold about you.
Correct inaccurate or incomplete data.
Request erasure of your data, in certain circumstances.
Restrict or object to certain processing.
Receive a copy of your data in a portable format.
Withdraw consent at any time, where processing is based on consent.

12. Children's data
MyMaintenance is intended for use by adults. We do not knowingly collect personal data from children, and the platform is not designed or marketed to children.
13. How we keep your data secure
We use appropriate technical and organisational measures to protect personal data, including encrypted storage of credentials, secure payment processing via Stripe, and access controls limiting who within our organisation and partners can view personal data. No system can be guaranteed completely secure, but we take reasonable steps to protect your information and to respond promptly to any incident.
14. Changes to this policy
We may update this policy from time to time, particularly as we move from pre-launch to full platform launch. We will post any changes on this page and update the “Last updated” date above. Material changes affecting registered users will be notified directly, for example by email.
